General Policy

Because many of our services involve consultation, research, planning, information gathering, analysis, administrative work, and time-based professional support, refunds are evaluated based on the status of the service at the time the request is made.

Our goal is to be fair, transparent, and reasonable while recognizing the time and resources invested in each project.

Consultation Services

Before the Consultation Begins

Clients may request cancellation of a scheduled consultation before the consultation takes place. Eligible cancellations may qualify for a full or partial refund depending on the circumstances and timing of the request.

After the Consultation Has Been Delivered

Once a consultation session has been completed, consultation fees are generally non-refundable because the service has already been delivered. However, we may review individual situations on a case-by-case basis.

Research Services

Research projects often begin shortly after work is authorized. Because research activities require time, analysis, information gathering, and preparation, refund eligibility may depend on the stage of completion.

Before Research Work Begins

Clients may request cancellation before work has commenced. Eligible requests may qualify for a refund.

After Research Has Started

If research activities have already begun, refunds may be reduced or unavailable depending on the amount of work completed.

Planning & Advisory Services

Planning services may include:

  • Travel planning
  • Itinerary development
  • Business planning support
  • Process planning
  • Project planning
  • Coordination assistance
  • Decision support services

Once planning work has commenced, refund eligibility may be adjusted based on the level of work already performed.

Administrative Support Services

Administrative support projects often involve document preparation, information organization, coordination activities, communication support, and related services.

Refund requests for administrative support projects will be evaluated based on project status and work completed.

Client-Initiated Cancellations

Clients may request cancellation of services at any time. When evaluating cancellation requests, factors may include:

  • Time already invested
  • Research completed
  • Consultation sessions delivered
  • Project progress
  • Deliverables already provided
  • Administrative work performed

Rescheduling Consultations

If a client cannot attend a scheduled consultation, we encourage advance notice whenever possible. Reasonable rescheduling requests may be accommodated based on availability. Repeated missed appointments or last-minute cancellations may result in additional scheduling restrictions.

Non-Refundable Situations

Refunds generally will not be provided for:

  • Completed consultation sessions
  • Services already delivered
  • Research already completed
  • Deliverables already provided
  • Decisions made by the client after receiving recommendations
  • Dissatisfaction resulting from factors outside Paydence's control
  • Changes in client circumstances after services have been delivered

Third-Party Services

Paydence may assist clients in evaluating third-party services, vendors, providers, travel options, software platforms, or other external resources. However, Paydence is not responsible for:

  • Third-party refund policies
  • Supplier cancellations
  • Provider decisions
  • Vendor performance
  • External service interruptions

Refunds related to third-party products or services remain subject to the policies of the respective provider.

Chargebacks & Payment Disputes

We encourage clients to contact us directly regarding any concerns before initiating a chargeback or payment dispute. Many issues can be resolved quickly through communication. Initiating a chargeback without first contacting us may delay resolution and require additional documentation review.

Exceptional Circumstances

We understand that unexpected situations may occur. Paydence reserves the right to review unique circumstances on a case-by-case basis and may, at its sole discretion, provide partial refunds, credits, rescheduling options, or other reasonable accommodations when appropriate.

Refund Processing

If a refund is approved:

  • Refunds will generally be issued to the original payment method whenever possible.
  • Processing times may vary depending on payment providers and financial institutions.
  • Additional verification may be required before certain refunds are processed.
